Privacy
What we hold,
and why we have it.
Two groups are covered here: people who visit this website, and hospitality businesses we contact directly about our work. If you arrived from an email we sent you, the section on business contact details is the one you want.
Who we are
Accendra Hospitality is a practice of Accendra, which builds operations automation for villa portfolios and independent hotels. Accendra decides why and how the personal data described on this page is handled, which makes it the controller under the GDPR.
Anything on this page can be raised with us at hello@accendra.io, or by replying to a message we sent you. The wider practice is at accendra.io.

Visiting this website
Traffic here is measured by two privacy-friendly tools. One is Umami, a hosted analytics service. The other is our own collector, which runs on our Cloudflare account. Both record page views, the site that referred a visit, the country a visit came from, and the browser and device type. Neither sets cookies, assigns an advertising identifier, or follows visitors to other websites. No consent banner appears for analytics because there is nothing stored on your device to consent to.
Our own collector never writes down your IP address or your browser’s user agent. It combines them with a secret that changes every night to produce a short code, which lets us count visitors without knowing who they are. Because that secret changes daily, the same person returning tomorrow produces a different code, so nothing here can follow you from one day to the next. We keep the domain a visit came from and never the full address of the referring page, and the raw records are deleted after ninety days.
No advertising networks, no social media pixels, and no session recording run on this site.
Two outside services are reachable from these pages:
- Photography is delivered by an external image host, so your browser requests those files from that host as the page loads.
- The booking link opens Calendly, where anything you enter is handled under Calendly’s own privacy terms.
If you email us or book a call, we keep the message, your reply address, and the notes we take, so we can answer you and carry the conversation forward.
Article 14 disclosure
How we contact businesses
We approach hospitality businesses directly about our work: villa and short-term rental managers, property agencies, and independent hotels. Where we contact a business we have had no prior dealings with, the detail below applies. It is the disclosure required by Article 14 of the GDPR, which covers personal data collected from somewhere other than the person it describes.
What we hold
Business contact details: company name, business phone number, business email address, business address, website address, and public notes about the property or portfolio, such as its size, location, and the systems the business mentions publicly. Where a business publishes the name and role of a contact person, we hold that as well.
Where it comes from
Public sources only. In practice that means Google Maps business listings and the business’s own website. We do not buy contact lists and we do not gather details from private or restricted sources.
Why we are allowed to hold it
Legitimate interest in business-to-business communication, under Article 6(1)(f) of the GDPR. The details we use are published by the business so that people can get in touch about work, our message concerns how that business runs its operation, and a single reply ends the contact.
Where it is kept
In Accendra’s internal CRM, reachable by the small number of people who run our outreach. Records are never sold, rented, or passed to anyone else for their own marketing.
How to stop hearing from us
Reply to any message with the word remove, or email hello@accendra.io. We suppress the record straight away and you will hear nothing further from us. Suppression keeps the least detail needed to recognise the business, so that a later scrape of the same public listing cannot bring it back.
Your rights
Under the GDPR you can ask us to:
- Access what we hold about you, and give you a copy of it.
- Correct anything inaccurate or incomplete.
- Erase what we hold, where there is no remaining reason to keep it.
- Object to us processing your details for direct contact. This one we act on immediately and without asking for a reason.
Send any of these to hello@accendra.io. There is no charge, and we answer within the one month the GDPR allows.
You can also complain to a supervisory authority in the country where you live or work. In Spain that is the Agencia Española de Protección de Datos. Raising it with us first is welcome but never required.
How long records are kept
Records are kept for as long as they serve the purpose they were gathered for, and no longer.
- Outreach records are reviewed as campaigns close, and removed once there is no realistic prospect of working together.
- Correspondence and call notes are kept while a conversation or engagement is live, and for as long afterwards as we need them for our own records.
- Suppression entries are kept for as long as we run outreach at all, because deleting one would let the same business be contacted again by mistake.
- Website analytics stay aggregated, with no record tied to a named person.
Questions
Write to hello@accendra.io and a person will answer. If our practice changes, this page is updated first, and what you are reading is always the current position.
